The AICA Summit website (aica-summit.com) is operated by AICA Foundation, based in Amsterdam, the Netherlands ("AICA", "we"). We are the controller for the personal data described on this page. For any privacy question or request, contact us at privacy@aica-summit.com.
This website collects personal data in one place only: the contact and waitlist form. If you submit it, we receive the details you enter, which are your name, email address, and message, plus your company and a subject line if you choose to provide them.
Like almost every website, our hosting provider also processes technical connection data (such as IP addresses) in short-lived server logs to deliver pages securely and reliably.
We use the information you submit to respond to your question or request, to manage your interest in attending AICA Summit, and to contact you about tickets and event updates you have asked for. The legal bases under the GDPR are the steps needed before entering into an agreement with you (Article 6(1)(b)) and our legitimate interest in responding to people who contact us (Article 6(1)(f)).
We do not use your data for automated decision-making or profiling, and we do not sell it.
We use Google Analytics to understand how visitors use this website, for example which pages are read most. Google Analytics sets cookies and is loaded only after you accept analytics in the cookie notice; if you decline, the website works fully without it. We do not use advertising or social media tracking cookies.
Apart from analytics you have accepted, the website only uses what is strictly necessary to serve its pages.
We use a small number of service providers to run this website: our hosting provider (Vercel Inc.) serves the site, and our email provider (Resend, Inc.) delivers form submissions to the organizing team, and Google Ireland Ltd. provides Google Analytics. These providers process data on our behalf under data processing agreements. Ticketing, when it opens, is handled by CM.com on its own platform and under its own privacy policy, which we will link to.
Our hosting and email providers are based in the United States, and Google Analytics data may also be processed there. Where personal data is transferred outside the European Economic Area, it is protected by recognized safeguards such as the EU Standard Contractual Clauses or certification under the EU-US Data Privacy Framework.
We keep form submissions for as long as needed to handle your request and to organize the event, and no longer than 12 months after AICA Summit 2026 concludes, unless we are required to keep specific records longer or you ask us to delete them sooner.
Under the GDPR you can ask us for access to the personal data we hold about you, and for correction, deletion, or restriction of its use. You can object to processing based on our legitimate interest, and you can ask to receive the data you gave us in a portable format. To exercise any of these rights, email privacy@aica-summit.com; we respond within one month.
If you believe we handle your data improperly, you have the right to complain to the Dutch supervisory authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or to the authority in your own EU country.
If our data practices change, for example when ticket sales open, we will update this page and revise the date at the top.
